Privacy Policy
How Neatoware collects, uses, and protects information on this website.
Effective Date: October 20, 2026
Neatoware, LLC (“Neatoware,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through neatoware.com, how we use and protect it, and the choices available to you.
This policy covers our public website, contact forms, pages that link to free tools, and downloadable resources. Information processed in connection with contracted customer services is subject to the applicable customer agreements, data-processing addenda, and governing laws.
1. Information We Collect
We collect only the information reasonably necessary to operate our website, respond to inquiries, and provide requested resources.
Contact inquiries. When you contact us through the website, we may collect your name, email address, organization, telephone number, selected inquiry category, and the information you include in your message.
Call bookings. When you book a call through our website, we collect your name, email address, telephone number, and the appointment time you choose, along with your organization and the topic you want to discuss if you provide them.
Our Book a Call page displays a scheduler from our booking provider, Growably, built on the HighLevel (LeadConnector) scheduling platform. The scheduler is embedded on the page. It and a supporting script load from the provider’s servers when you open the page, before you choose a time or enter anything. When the scheduler loads, and as you use it, the provider may use cookies and similar technologies, such as browser storage, for security, functionality, and analytics, and may receive your IP address, browser and device information, the address of our page, how you reached it (such as the referring page and any campaign tags in the link), and how you use the scheduler. Booking details you enter in the scheduler are collected by our booking provider on our behalf, as described below.
Growably and HighLevel process booking information to schedule your appointment, maintain our business records, and provide related services on our behalf. Neatoware’s use of that information is governed by this Privacy Policy. The booking platform also uses cookies and similar technologies for security, functionality, and analytics. To the extent these providers collect information independently for their own purposes, their respective privacy policies may apply: Growably Privacy Policy and HighLevel Privacy Policy.
Free publications. You can download our free publications without giving us your name, email address, or other contact information. When you download a file, our servers record the same technical information described under “Website and security logs” below.
Breach check. Our breach-check page provides links to email and password breach-checking services operated independently by Have I Been Pwned. These services operate on Have I Been Pwned’s own website, not on neatoware.com. Neatoware does not operate these services or receive your searches or results. For information about how Have I Been Pwned collects, uses, and retains information, please review its Privacy Policy.
Internet speed test. Our speed-test page links to an independent internet speed-testing service operated by Cloudflare on its own website. Neatoware does not operate the service or receive your test results. For information about Cloudflare’s collection, use, and retention of information, please review its Privacy Policy.
Website and security logs. Our servers and supporting infrastructure may automatically record technical information such as IP addresses, browser and device characteristics, requested pages, access times, and diagnostic or security events. We use this information to maintain website performance, investigate problems, and protect against misuse.
Cookies. Cookies and similar technologies may be used by us and by third-party content and services displayed on our website. When a visitor triggers a sound effect, the site briefly uses browser session storage to carry the clip’s position to the next page. Neatoware does not use this value to identify or track visitors. The value is cleared when used or when the browser tab is closed. Our website software also uses session storage to check which browser features are supported. The booking scheduler embedded on our Book a Call page is provided by our booking provider, which sets its own cookies and similar technologies, as described under Call bookings. If you reach that page through a link that includes campaign tags, the provider’s script may also save those tags in your browser’s session storage for our site, which your browser clears when the tab is closed, and may share them, along with the page address, with the provider. Administrative login sessions use cookies for authentication and security.
We do not currently use website analytics, tag-management tools, or advertising or retargeting pixels on our own pages, except that the booking scheduler embedded on our Book a Call page includes its provider’s analytics, as described under Call bookings.
Content on our pages. Some pages load images, emoji, videos, or other content from third-party providers, including WordPress-related content delivery services, embedded video players, and the booking scheduler described under Call bookings. When your browser requests this content, those providers may receive your IP address and browser information and may use cookies or similar technologies according to their own privacy practices. Third-party providers whose content or services are embedded on our website may collect personally identifiable information about your activities over time and across different websites. Their independent collection and use of that information are described in their respective privacy policies. Some videos on our website are provided by YouTube and load only if you choose to play them. YouTube’s use of information is governed by the Google Privacy Policy.
Websites you choose to open. Some links take you to another provider’s website: the Cloudflare speed test and the Have I Been Pwned breach checks. Those sites are operated by their providers and are governed by those providers’ own privacy policies, not this one. Pages our booking provider hosts for us, such as pages for rescheduling or canceling a call, are the exception: this policy continues to govern our collection and use of the booking information you submit there.
Third-party tools may change their privacy practices without notice; if you use those tools, review the providers’ own policies. You can block or delete cookies in your browser settings, but some features of our website may not work as intended if you do. The booking scheduler on our Book a Call page comes from our booking provider and may not work fully if your browser blocks its cookies or storage; if it doesn’t, you can call us at (404) 328-7771 or reach us through our contact page.
Email opens and link clicks. Some emails we send, such as booking confirmations and reminders, contain a small image and tracked links. If your email program loads the image when you open the email, it tells us that the email was opened and when, and may also record technical information such as your IP address and the type of device or email program you use. Links in these emails first pass through link.neatoware.com, a web address our email delivery provider operates for us, which records the click and then takes you to the page you chose. This tells us which links were clicked. An email open may be recorded when your email program or its privacy service loads a tracking image, even if you have not personally read the message.
2. How We Use Information
We use information collected through our website to respond to inquiries, deliver requested publications, communicate about services relevant to your request, operate and improve the website, prevent abuse, maintain security, and comply with applicable legal obligations.
We use booking details to schedule your call, send confirmations and reminders, and prepare for the conversation. We use email delivery and engagement information to monitor delivery, understand interactions with our communications, and improve the emails we send.
We may also use business contact information to follow up on inquiries you initiate. Promotional email subscriptions are separate from our free publications, which require no signup.
We do not use information submitted through our public website as a substitute for a contracted security assessment or managed security service.
3. Our Privacy Commitments
Neatoware does not sell personal information collected through this website.
We do not use advertising or retargeting pixels, track visitor activity across unrelated websites for behavioral advertising, or use session-replay software to capture or reproduce visitors’ browsing sessions. Our emails may track opens and link clicks, as described in Section 1, but we do not use that information for advertising.
We do not send marketing text messages using telephone numbers collected through our website forms.
Our objective is to collect only the information necessary for legitimate website and business operations.
4. Service Providers and Third Parties
We use selected service providers to operate our website, deliver email, manage business inquiries, maintain security, and provide requested resources. These may include website hosting providers, email delivery services, customer relationship management systems, and technical infrastructure providers.
Our customer relationship management provider receives the details you give when you book a call and keeps our records of the emails we send you, including whether they were opened and which links were clicked. Our email delivery provider receives your email address and the content of the emails it delivers for us, and operates the tracked links described in Section 1.
Where service providers process personal information on our behalf, we seek to limit their use of that information to authorized purposes, subject to appropriate contractual and security requirements.
Some free tools we link to, such as the Cloudflare speed test and the Have I Been Pwned breach checks, are run by independent providers on their own websites. Their own privacy policies, which we name and link in Section 1, govern their collection and use of information.
We may also disclose information when reasonably necessary to comply with applicable law or valid legal process, protect legal rights, investigate misuse, or address security threats. Other disclosures will be made only as permitted by applicable law.
5. Email Communications
When you contact us, we may send messages needed to respond to your inquiry.
When you book a call, we send a confirmation and reminders by email from a neatoware.com address.
Email tracking. Our emails may contain small images or tracked links that tell us whether an email was opened and which links were clicked, as described in Section 1. We do not use them for advertising. You can reduce email open tracking by blocking remote images or viewing emails as plain text. To avoid tracked links, navigate independently to the destination website rather than using links contained in our emails.
If you separately subscribe to promotional communications, we may send occasional information about our services, cybersecurity developments, and related resources.
Marketing emails include a method to unsubscribe and Neatoware’s mailing address. You may unsubscribe using the link provided or by emailing info@neatoware.com.
We honor marketing opt-out requests within 10 business days, as required by applicable federal law. We may retain limited information necessary to maintain unsubscribe preferences and comply with legal obligations.
6. Information Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, maintaining legitimate business records, protecting website security, and complying with applicable legal requirements.
How long we keep information depends on what it is and why we have it. Some records are deleted automatically, and some are kept as business records until they are no longer needed or you ask us to delete them. Information subject to a legal hold will be preserved as required.
- Contact inquiries and call booking records: kept as business records in our email and customer relationship systems. We do not delete these automatically. You can ask us to delete them at any time, as described in Section 7.
- Email open and click information: our email delivery provider processes delivery and engagement information on our behalf. Neatoware may retain a summary of whether our emails to you were opened or clicked as part of your contact record. We retain those summaries for as long as we reasonably need the associated contact record. The provider’s processing and retention of detailed activity records are subject to our service arrangements with that provider.
- Website access and security logs: kept as long as reasonably needed to operate the website, investigate problems, and protect against misuse, then deleted or disposed of when no longer needed. Logs tied to a specific security investigation may be kept as long as that investigation and any related legal obligations require.
- Website backups: we keep backup copies as long as reasonably needed to restore the website, then delete or dispose of them when no longer needed.
- Customer-related records: governed by the applicable service agreement.
When information is no longer required, we delete, anonymize, or otherwise dispose of it in accordance with our retention procedures. Information contained in backups may remain until that backup copy is deleted.
7. Your Privacy Choices
You may request access to, correction of, or deletion of personal information Neatoware maintains about you by emailing info@neatoware.com.
To change or cancel a booked call, or to ask us to delete your booking details, email info@neatoware.com or call (404) 328-7771.
We aim to acknowledge privacy requests within three business days. We will review and fulfill verified requests within a reasonable period and within any deadlines required by applicable law. We may ask you to confirm the email address associated with the request before we act on it, to protect against unauthorized disclosure or deletion.
Certain information may be retained when required or permitted by law, including for security investigations, legal compliance, or legitimate business-record purposes.
Where applicable privacy laws provide additional rights, we will honor those rights as required.
8. Information Security
Neatoware uses reasonable administrative, technical, and physical safeguards designed to protect information collected through this website against unauthorized access, disclosure, alteration, and loss.
No internet transmission, website, or storage system can be guaranteed completely secure.
Our public website forms are not approved channels for transmitting sensitive or regulated information. Please do not submit passwords, authentication credentials, access tokens, Criminal Justice Information (CJI), law enforcement investigative records, protected health information, financial account credentials, or similarly sensitive materials.
Existing customers should use their designated secure support and communication channels for sensitive information and security incident reporting.
9. Children’s Privacy
This website is intended for businesses, government organizations, and professional audiences. It is not directed to children under 13, and we do not knowingly collect personal information from children under that age.
If we learn that we have collected such information without appropriate authorization, we will take reasonable steps to delete it in accordance with applicable law.
10. Browser Privacy Signals
Our website does not currently respond to legacy browser Do Not Track signals. We do not use cross-site behavioral advertising technologies.
Where an applicable law requires recognition of qualifying privacy preference signals, we will comply with those requirements.
11. External Websites
Our website may contain links to websites and services operated by other organizations. Their privacy practices are governed by their own policies, which we encourage you to review.
Neatoware is not responsible for the independent privacy practices of third-party websites.
12. Changes to This Policy
We may update this Privacy Policy to reflect changes in our website, technologies, business practices, or legal obligations.
The effective date at the top of this page identifies the current version. We will publish revised versions of this Privacy Policy on this page with an updated effective date. When appropriate or required by law, we will provide additional notice of material changes through our website or other suitable communication channels.
