Email run by people who manage mail servers for a living

Neatoware Groupware gives your staff email, calendars, contacts, tasks, and notes on your own domain, with sharing built in. It runs on servers we set up, patch, and watch, so you know who is responsible for your mail.

What you get

  • Your name on your email. Email, calendars, and contacts on your own domain, so customers and partners see your organization, not a generic address.
  • One place for the workday. Email, calendars, contacts, tasks, and notes live together, so plans and follow-ups don’t get lost between apps.
  • Works the way your staff already work. Use Outlook on the desktop, the mail app on a phone or tablet, or webmail in a browser, kept in sync.
  • Security in layers. Filtering that blocks most spam, phishing, and viruses, plus two-step sign-in for webmail and protection for your domain.
  • Servers we run for you. Your mail lives on servers we set up, patch, and watch, hosted in major cloud data centers with built-in redundancy, so there’s a team behind it that knows your setup.

Built for working together

  • Shared calendars. See when coworkers are free and set up meetings without the back-and-forth.
  • Shared contacts and notes. One contact list for the office, and shared notes for the details your team needs.
  • Shared inboxes and mailing lists. A shared inbox for addresses like info@ or billing@ lets your team answer from one place, and a mailing list reaches a whole department with one address.
  • A hand from a coworker. Let a trusted assistant send email on your behalf or take on tasks for you, so work keeps moving when you’re busy or out.
  • Conversations, not clutter. Replies are grouped into conversations, so the back-and-forth on a topic stays in one place.
  • Rules that do the sorting. Set rules that file, flag, or forward mail for you, so the inbox stays manageable.

At your desk, on your phone, in your browser

  • Outlook and other desktop apps. Keep using Outlook or another popular desktop mail app. Calendars, contacts, and tasks can sync to desktop apps that support it.
  • Phones and tablets. Email, calendars, contacts, tasks, and notes sync with most phones and tablets, so a change on one device shows up on the others.
  • Webmail that does the job. A full webmail in your browser, with mail, calendars, and contacts in one place, for the days you’re away from your desk. Webmail also lets you schedule a message to send later, or undo a send you didn’t mean.

Security in layers

  • Less junk, fewer threats. Filtering checks mail coming in and going out, holds back risky attachments, and blocks most spam, phishing, and viruses before they reach the inbox. Checking outgoing mail also helps keep a hijacked account from sending junk in your name.
  • Known bad senders turned away. Mail from sources known for spam and phishing can be turned away before it’s even accepted.
  • Harder to fake your domain. Sender verification helps other mail systems spot fake messages that claim to be from you, which helps cut down on invoice and payroll fraud.
  • Two-step sign-in for webmail. Webmail asks for a second step by default, which makes it much harder for someone with a stolen password to get into webmail.
  • Strong passwords, your rules. Strong password rules are enforced on mailboxes, and your organization chooses the password policy that fits.
  • Encrypted on the way and at rest. Encrypted connections help protect mail on its way between your devices and our servers, and stored mail on our mail servers and its backups are encrypted with AES-256.
  • Limits that slow down attackers. Rules for who can sign in and how much mail an account can send help slow down an attacker who gets hold of a password.

We run it, so you don’t have to

  • Changes handled for you. New hires, departures, password resets, and settings for each group of users go through your account rep, so you don’t need a mail expert on staff.
  • One list of users. Already keep a directory of user accounts? Email accounts can often sync with it, so there’s one list to manage.
  • Restore just what was lost. If a mailbox is deleted or damaged, we can restore that mailbox from backup without rolling back anyone else’s mail. See Backup and Disaster Recovery.
  • Moving made easier. Coming from another mail server? Moving your existing mail and calendars is part of getting you set up. We aim to bring everything over, though in rare cases some items can’t move.

Which plans include this

Business email, calendars, and contacts are included on Gold and Platinum plans. Gold and Platinum aim to respond within one business day, with faster targets for Platinum Priority 1 incidents. Response times are targets, not guarantees. See Plans.

Common questions

Will it work with Outlook?

Yes. Your staff can use Outlook or another popular desktop mail app, webmail in a browser, or the mail app on their phones and tablets.

Can we keep our own domain?

Yes. Your email stays on your own domain.

Can we share calendars?

Yes. Staff can share calendars, contacts, and notes, and let a coworker send email or handle tasks on their behalf.

Will it work on our phones?

Yes. Email, calendars, contacts, tasks, and notes sync with most phones and tablets.

How big are mailboxes?

Each mailbox starts at 5 GB. If someone needs more room, we can set a larger size in your contract.

Can you move our existing email?

Yes. Moving your existing mail and calendars is part of getting you set up, and your account rep will plan the switch with you. We aim to bring everything over, though in rare cases some items can’t move.

Does filtering stop spam?

It blocks most spam, phishing, and viruses before they reach the inbox. If something slips through, tell your account rep and we’ll look into it.

Who do we call when email acts up?

Your account rep, the same person who knows the rest of your setup, within your plan’s response targets.

Why Neatoware: When email acts up, you call one person who knows your setup, not a general support line.
